HOURS: Monday - Friday inclusive. 8.30am - 4.00pm. Term time + 3 weeks.

Introduction.

Castles Education LLP is a fast-growing group of Independent Schools providing specialist educational services for 11 – 16-year-old students with social emotional and mental health issues. We are seeking applications from suitably experienced candidates to help us build upon the Castles vision and to support our rapid growth. Our ‘Futures’ educational programme aims to build self-belief, create social and personal opportunity, raise standards, develop ambitious personal aspirations and to create safe trusting environments for everyone in our care regardless of their social, emotional, personal or geographical background.

The purpose of this role:

We are looking for experienced and / or ambitious School Administrators to help deliver our educational programmes, supporting and inspiring students who attend our schools in both Scunthorpe and Lincoln through their Educational Health and Care Plans. This is an exciting full time role to work with a school provider that has an outstanding reputation for its dedication to inclusion.

Our School Administrators are a critical link between every part of our service, ensuring that teachers, students and support staff are able to deliver the Castles promise and that our external stakeholders have confidence in the support and data we provide every day.

We are looking for individuals who can work effectively and efficiently within a support team and alongside the teaching and behavioural professionals and who possess a genuine commitment towards making a positive contribution to the school and improving the outcomes of those in our care.

Castles Schools are modern, vibrant facilities with excellent equipment hosting up to 60 students per School at one time. Class sizes are small which promotes our desire for high-quality teaching and learning. Our learners are supported with external vocational experience providing the holistic learning environment required for a rounded education.

The primary purpose of this role:

To be an ambassador for Castles Futures when meeting parents and other visitors and to act as a first point of reference when people arrive to site.

To provide secretarial, clerical, and administrative support to the SLT, Head of Schools, Business and Operations Manager and Managing Partners .

Contribute to the overall ethos/work/aims of the schools and meeting the needs of the students .

To be aware of, support differences, and ensure equal opportunities for all .

To develop open, approachable and professional relationships with students, parents, and colleagues in the schools

To provide a robust administrative service to all sections of our schools and stakeholder community regardless of race, sex, background or age.

Job Specifics:

Reporting directly to the Business and Operations Manager, successful candidates will be expected to assist with the following typical list of duties:

  • Perform Receptionist duties throughout the school day: acting as first point of reference for, receiving callers, students, parents, visitors and telephone enquiries.

  • Offer helpful, friendly, approachable and professional service at all times and take appropriate action on own initiative, resolving minor matters, referring more serious matters to appropriate members of staff .

  • Adhere to school procedures and ensure that staff receive messages (telephone, email, face-to-face) promptly and accurately

  • Maintain notice boards, update timetables/rotas, sort and distribute mail

  • Produce and maintain compliance posters at all centres i.e. fire evacuation, safeguarding

  • Liaise with the schools/academies with regard to student placements and attendance

  • Liaise with Local Authorities with regard to student placements and attendance .

  • Provide general confidential secretarial service to SLT, Head of Schools, Business and Operations Manager and Managing Partners, to include word processing, correspondence, reports, references, mail, diaries, appointments and meetings, maintain general and confidential filing systems, provide hospitality as required

  • Create, circulate and update the school’s calendars as appropriate

  • Provide support and documentation production for the SENDCo annual reviews

  • Assist with purchase orders, stock control, repairs and servicing within the school and buildings setting.

  • Assist with paperless methods of communication by sending out emails. Photocopy and send out letters.

  • Review termly students’ meal requirements and in partnership with the Head of Schools, constantly review of entitlement of free meals.

  • Maintain high standards when managing confidential information, complying with the school’s data protection procedures and legal requirements at all times.

  • Maintain on a daily basis the Castles Futures Single Central Record to ensure compliance and safeguarding control.

  • Liaise with the required supply agencies to ensure that all temporary professionals are compliant and requisite details filed as appropriate.

  • Maintain school documents designed by SLT, Head of Schools, Business and Operations Manager and Managing Partners.

  • Process student admissions in accordance with the Castles Futures admissions policy.

  • Maintain student database, amend/update records on the systems and print reports such as attendance & attainment.

  • Contribute to safeguarding the welfare of students in the schools.

  • Maintain the security of property in a way that is consistent with Castles Futures procedures and legal requirements, reporting any concerns about safety and security to the appropriate person(s) .

  • Maintain the visitors log book and ensure all visitors and contractors can be identified by wearing clearly visible identification badges.

  •  Undertake such other duties as directed and required from time to time.

About You:

To succeed in this role we are looking for an individual who can demonstrate and fulfil the following key criteria:

  • Previous experience working in the SEMH school environment would be ideal but not essential.

  • GCSE Grade C in English and Mathematics or equivalent.

  • Appropriate experience with common office software (ie Word, Excel, Outlook etc.)

  • A self starter who can regularly review own practice, set personal targets and take responsibility for driving own personal development.

  • An open and responsible attitude for your work, encourage and accept feedback from colleagues and line manager and respond to or adapt to change as required.

  • Willing to take an active part in the Castles Futures appraisal process with line manager, sharing success stories as well as challenges

  • Willing to keep an up to date professional portfolio (CPD file) of your own development.

  • Willing to continue to learn and develop as a professional, completing inductions and attending regular relevant training to improve update your personal knowledge and relevant skills thereby enhancing your experience and qualifications to work in special needs settings

  • Demonstrate the highest personal and professional standards and be a responsible and effective member of staff, attending regular meetings with SLT, Head of Schools, Business and Operations Manager and Managing Partners where requested.

  • Demonstrate an appreciation, respect and support the role of other professionals within a challenging sector and setting.

  • Patience, understanding and a sense of humour are essential.

  • A current, enhanced, updated DBS check (or be willing to undertake one).

  • Be willing to undergo a thorough vetting and recruitment process to help ensure the safeguarding of our students.
